Contractor invoice template
Trade contractors need invoices that survive job-site reality: partial completions, extra work tickets, and retainage releases. Clarity upfront prevents disputes after the punch list.
Job reference and parties
Include job name, site address, GC or owner billing contact, and your license number where required. Reference the contract or purchase order number. If you are a subcontractor, name the upstream contractor to reduce misrouting.
Labor, materials, equipment, and subs
Split labor and materials when your margin or tax treatment differs. Pass-through sub invoices as separate lines with receipts when clients expect transparency. Call out equipment rental or mobilization fees explicitly rather than burying them in “misc.”
Progress billing and retainage
Show percent complete or draw number, prior amounts billed, and current period amount. State retainage held and the release conditions. Match the schedule of values your customer uses so accounting can approve quickly.
