What does the Xero integration do?

Connect Xero with OAuth and Invoice My Clients handles the client-facing side (invoices, payment pages, reminders) while Xero stays the system of record. A background job pushes pending invoices and payments every five minutes, contacts are synced both ways, and purchase orders can be pushed to Xero or imported from it.

Auto-import toggles let you decide whether Xero contacts and invoices flow into your account on their own. Every sync attempt is logged with its status and failure reason, and any invoice can be synced on demand from its page.

  • Contacts: created in Xero and imported back, with auto-import toggles.
  • Payments recorded here are created as Xero payments.

A tidy Xero ledger without double entry

Invoice My Clients does the sending and chasing; Xero does the accounting. The integration keeps them in step.

Invoice sync

Invoices marked for sync are pushed in batches every five minutes. Import your existing Xero invoices so history is complete on both sides.

Contact sync

New clients become Xero contacts and Xero contacts can be imported automatically or on demand.

Payment sync

A payment recorded against an invoice is created in Xero against the same invoice, with the remittance number in the reference when one exists.

Purchase orders

Push purchase orders to Xero and import Xero purchase orders, keeping vendor commitments visible in both tools.

Scheduled and on demand

The daemon runs every five minutes and Sync now runs immediately from the integration settings or any invoice.

Sync log and controls

Every record shows Pending, Synced or Failed with the reason. Toggle auto-sync and auto-import, or disconnect whenever you want.

How to sync invoices to Xero

Connect Xero

In Settings, open Integrations and choose Connect on Xero. Sign in and pick the organisation. Available on the Professional plan and above.

Import contacts and invoices

Bring your Xero contacts, invoices and purchase orders across so the two systems start from the same place.

Invoice and record payments as usual

Auto-sync is on by default. Pending invoices and payments are pushed every five minutes.

Review the sync status

Each invoice shows its Xero status. Use Sync now for anything urgent and the sync log if something needs attention.

Which plans include the Xero integration?

Xero and QuickBooks Online are on the Professional plan and above.

How often does it sync?

Pending invoices and payments are pushed every five minutes. Contact and invoice imports from Xero run on the same schedule when their auto-import toggles are on, and Sync now runs immediately.

Do payments sync both ways?

Payments recorded in Invoice My Clients are created in Xero. Payments entered directly in Xero are not applied to your Invoice My Clients invoices automatically.

Does Xero notify Invoice My Clients of changes?

Xero-side changes are picked up by the scheduled import or a manual import rather than by webhook, so allow a few minutes for edits made in Xero to appear.

What happens when a sync fails?

The record is marked Failed with the reason in the sync log. Fix the cause, then use Sync now; nothing is silently dropped.
