What is invoice mailing?

Invoice mailing turns any invoice in your account into a printed letter delivered by USPS. Invoice My Clients generates the invoice PDF, verifies the recipient address, hands the letter to our print-and-mail partner PostGrid, and follows every scan until it is delivered, returned or failed.

It costs a flat price per piece, charged to the card on file when you send: $1.49 for USPS Standard, $2.49 for First-Class and $12.99 for Certified Mail (signature on delivery). Six pages are included per letter, with $0.25 for each extra page.

Everything the post office needs, handled for you

No printer, no envelopes, no trip to the counter. The letter is produced, addressed and mailed from the invoice you already have.

First-Class, Standard and Certified

Pick the class per letter. Certified Mail gives you a signature on delivery for disputes, deposits and legal notices.

Address verification

US and Canadian addresses are checked against postal data when the mail drawer opens; international addresses use the global verifier. Corrections are one click and saved back to the invoice.

Delivery tracking

Every letter moves through Pending, Processing, In transit, In local area and Delivered, with Returned and Failed as terminal states. The timeline lives on the invoice.

Bulk mailing

Select several invoices in the list and mail them in one go, each with its own address check and tracking record.

Notifications both ways

You and your client get an email when the letter goes into the mail, and you are told when it is delivered, returned or failed.

Pay as you send

Each piece is charged to your saved card at send time. If printing or handoff fails, the charge is refunded automatically.

How to send an invoice by mail

Open the invoice and choose Send by mail

The mail option sits in the invoice sidebar and in the invoice list menu. Physical mail is available on the Professional plan and above.

Confirm the verified address

The recipient address is verified as the drawer opens. Accept a suggested correction, or edit the address if it could not be verified.

Pick the mail class and options

Choose Standard, First-Class or Certified Mail, and add color printing or a return envelope if you want them. The total is shown before you confirm.

Track it to the mailbox

The letter is printed and posted by PostGrid. Status updates land on the invoice timeline and in your inbox until it is delivered.

Invoice mailing FAQs

How much does it cost to mail an invoice?

USPS Standard is $1.49, First-Class is $2.49 and Certified Mail is $12.99 per letter, including up to six printed pages. Extra pages are $0.25 each, color printing is $0.99 and a return envelope is $1.49. The amount is charged to your card on file when you send.

When should I use Certified Mail instead of First-Class?

Use Certified Mail when you need proof that the invoice arrived: final notices before collections, deposits on large jobs, or any invoice you may later need to show was delivered. First-Class is the right default for routine invoices.

Which plans include physical mail?

Physical mail is included on the Professional, Business and Enterprise plans. Each letter is billed per piece on top of the subscription.

What exactly is mailed?

The invoice PDF, printed and inserted behind an address page so the recipient address always shows through the envelope window. No cover letter is added.

Can I send the same invoice electronically as well?

Yes. Email delivery, Peppol e-invoicing and physical mail are separate channels for the same invoice, so a client can receive it any way they prefer. See the e-invoicing page for the electronic side.
