Free Templates Where Every Format Actually Computes
Receipt template
A receipt closes the loop an invoice opens: proof that payment happened, when, how, and for what. Clean receipts protect both sides at tax time and end "did you get my payment?" threads before they start.
What a receipt must capture
Date received, amount, payment method, and a reference (check number, last four digits, transfer ID). Tie it to the invoice it settles. Without the reference, matching payments to invoices months later becomes archaeology.
Partial payments and balances
When a client pays part of an invoice, the receipt should say so plainly: amount received and balance remaining. This template computes the remaining balance for you, which turns every partial-payment receipt into a soft reminder.
Receipts and your tax records
Issued receipts document income; the copies you keep are your audit trail. Store them with the matching invoice. If you accept cash, a written receipt is not optional - it is the only record either side has.

Receipt FAQ
Am I required to give receipts?+
For cash, practically always - it protects you as much as the payer. For traceable payments a receipt is courtesy plus clarity, and many business clients require one for their books.
Receipt vs invoice: which do I send?+
The invoice requests payment; the receipt confirms it. Send the invoice first, the receipt after money arrives. They share line items but serve opposite ends of the transaction.
What about deposits and retainers?+
Issue a receipt when the deposit lands, then show it as a credit on the final invoice. The paper trail keeps everyone honest about what remains due.
