Get paid by a client who stopped answering
The work is done, the invoice is out, and the replies have stopped. You do not want to be the person who sends the fifth awkward email, and you do not want to write the amount off either.
The situation
A client who was friendly for the whole project now does not answer. Sometimes it is cash flow on their side, sometimes the invoice is sitting with someone who never saw it, sometimes they are hoping you forget. You cannot tell which from the silence, and every day you wait the invoice gets harder to collect.
What goes wrong today
Most people chase from their own inbox: a reminder when they remember, worded differently each time, sent to the one contact they have. There is no record of what was promised, no statement the client can forward to their bookkeeper, and no step after "please advise". When the client finally says "the check is in the mail", the reminders keep going anyway, which is how a paying client becomes an annoyed one.
How it works in Invoice My Clients
Reminders follow a fixed ladder on the Professional plan: email on day 1 and day 7, a text on day 14, a final notice on day 30, then the invoice lands in your escalation queue for a human decision. Quiet hours apply, and reminders pause on their own when the client disputes or a payment fails. When a client promises a date, record it on the invoice: reminders stop until that date passes. Add the accounts payable contact and the signer to the client, and later reminders widen to them. Send a statement of account showing every open invoice. If nothing moves, approve a demand letter by certified mail (you see the postage first) and, as a last step, download the small claims evidence packet with the invoice, its history and every message sent.
When it does not fit
| Situation | What happens | What you do |
|---|---|---|
| The client disputes the invoice | Reminders pause and the invoice goes to your escalation queue | Resolve it there; nothing is sent until you decide |
| You are on the Free or Starter plan | The automated ladder is a Professional feature | Record the promised date and send a statement by hand, or upgrade |
| You want a collections agency to take over | The case export is on the Business plan; there is no agency integration | Export the case and hand it to the agency of your choice |
| The client is outside the US | Certified mail and the small claims packet are US-only | Use the email and text ladder and the statement |

Questions people ask
Will it send anything without asking me?+
Reminders on the ladder go out on schedule once you switch collections on, within your quiet hours and limits. Demand letters, small claims packets and anything that costs money wait for your approval.
What if the client pays halfway through the ladder?+
A payment that arrives through the invoice link marks it paid and the ladder stops. A check or transfer you record yourself does the same.
Can I add interest or a late fee while I wait?+
Yes. Interest on overdue invoices and flat late fees are on the Starter plan and above, and the reminders show the updated balance.
