The firm that fixes everyone else’s billing
Practices are usually the last to automate their own receivables. Recurring engagement fees, clients on wildly different terms, and a partner who ends up chasing payment personally. This is the setup that takes that off the partner’s desk.
01 / Accountants and bookkeepers
A practice bills differently from its clients
Fees are recurring but not identical, work in progress runs ahead of billing, and the client relationship makes chasing payment uncomfortable in a way it is not for a product business.
The pieces that matter here are bulk onboarding, recurring fees that issue themselves, ledger-clean data flowing to QuickBooks or Xero, and collections that run at arm’s length so the partner relationship stays about advice.
- Import an existing client list in bulk instead of typing it in twice.
- Bill monthly engagement fees on schedule, with per-client terms and rates.
- Sync invoices and payments to QuickBooks Online or Xero so the practice books reconcile themselves.
- Hand the awkward accounts to concierge recovery instead of a partner phone call.
02 / Capabilities
What a practice needs from its own billing stack
Onboarding, recurrence, reconciliation, and collections that do not cost you the relationship.
Bulk client onboarding
Import clients from a spreadsheet or an existing system, with terms, rates, and contacts, so a migration is an afternoon rather than a project.
Books that stay reconciled
QuickBooks Online and Xero sync on Professional, every integration including HubSpot on Business, so invoices and payments land where your workpapers expect them.
Collections at arm’s length
Autonomous dunning follows the ladder in the firm’s voice. Nobody has to decide whether this is the week to email a client about an unpaid fee.
Seats for the team
Business includes three seats with advanced roles, so a bookkeeper can raise invoices without seeing partner-level reporting.
Recurring engagement fees
Monthly and quarterly fees issue, send, and reconcile on schedule, with scheduled send for the annual work that lands on a fixed date.
Concierge recovery
When software cannot collect it, a person can. Concierge recovery is enabled at no cost and charges a success fee only on what is actually recovered.
03 / Plan fit
Business for a firm, Professional for a sole practitioner
A sole practitioner is well served by Professional. Once a second person raises invoices, or you want every integration and the larger AI allowance, Business is the fit. Billing on behalf of client entities as separate personas is an Enterprise capability.

04 / Process
Moving a practice onto it
Bring the client list across
Bulk import clients with their terms, rates, and contacts. Nothing gets rekeyed and nothing gets lost in the move.
Set the engagement fees running
Recurring invoices cover monthly and quarterly fees. Ad hoc advisory work is added as it happens, from tracked time or a flat line.
Wire it to the ledger
Connect QuickBooks Online or Xero so invoices and payments post themselves and the practice books reconcile without a month-end scramble.
Take collections off the partners
Dunning runs the reminders, the escalation queue holds anything that needs judgment, and concierge recovery takes the accounts that have genuinely stalled.

Questions from practices
Can we bill on behalf of our clients?
Billing under a separate persona, so an invoice goes out as the client entity rather than as your firm, is an Enterprise capability. On Business, you bill as your firm with your own branding, which is what most practices need for their own fees.
How does this sit alongside QuickBooks or Xero?
It sits in front of them. Invoicing, payment collection, and dunning happen here, then invoices and payments sync across so the ledger stays the record.
What does concierge recovery cost?
Nothing to turn on. It charges a success fee on the amount actually recovered, with a per-invoice floor so small balances stay economic to pursue. It only engages on invoices the software could not collect on its own.
Can we import our existing client list?
Yes. Client import handles a bulk load from a spreadsheet or an export from your current system, including terms and rates, so you are not rebuilding the roster by hand.
