Trades

Invoicing software for trades

From the estimate the customer signs on your phone to the invoice they pay before you leave. Deposits, change orders, progress billing and reminders, without buying a scheduling and dispatch system to get them.

01 / Trades

Quote to cash, without the field service suite

Most software for the trades is built around the dispatch board: scheduling, crews, routes. If you already run your jobs the way you like, what you need is the money side done properly: a clear estimate, an approved price for every change, and an invoice that gets paid.

Invoice My Clients does that part. It does not schedule or dispatch. It turns an accepted estimate into the invoice, keeps every change order in writing, bills big jobs in stages and follows up on what is unpaid.

  • Estimates with options and a deposit; the customer signs with a finger on your Android phone or accepts from a link.
  • Change orders on the accepted estimate, so the final invoice matches what was approved.
  • Card and bank payments online, or Tap to Pay on your Android phone with no card reader.
  • Estimates, purchase orders, receipts and change orders numbered in the same pattern as your invoices.

02 / Capabilities

What a trades business needs from its invoicing

Each of these is live today. Scheduling, dispatch, payroll and financing are not part of it.

Estimates that become invoices

Sections, pricing tables, options and e-signatures. An accepted estimate converts to the invoice without retyping a line. Professional and above.

Change orders in writing

Add a priced change to the accepted estimate and get it approved before the work. Works on the web and in the Android app.

Progress billing for big jobs

One contract, several applications: percent complete per line, retainage held and released, earlier applications subtracted. Professional and above, in the web app.

Paid on the job

Card and bank payments through Stripe, deposits paid from the accepted estimate and credited on the invoice, Tap to Pay on Android, and quick receipts for cash or a check.

An Android app for the truck

Estimates, invoices, receipts, signatures and Tap to Pay on the phone, signed in to the same account as the web app. On iPhone, use the web app in the browser.

Follow-up you do not have to do

Email payment reminders on a fixed schedule from day 1 to day 30, held for your approval unless you choose automatic sending (Professional and above), and a review request email once an invoice is paid.

03 / Plan fit

Professional is the trades plan

It is the first plan with estimates, change orders, deposits on estimates and progress billing. Starter covers invoices, recurring invoices and Tap to Pay if you do not quote.

  • Estimates with options, e-signatures and conversion to invoice
  • Change orders on accepted estimates
  • Progress billing with milestones and retainage
  • Card and bank payments, partial payments and installment plans

Card processing is pass-through at Stripe rates; by default the fee comes out of your payout, and you can pass a card surcharge to clients where the law allows.

04 / Process

How a job runs from estimate to paid

01

Estimate on site

Build the estimate with options on the phone or the web. The customer signs with a finger or accepts from a link, then pays the deposit.

02

Change orders as the job moves

Anything outside the estimate becomes a priced change order the customer approves before you do it.

03

Invoice and get paid

Convert the accepted estimate to the invoice, or bill in stages on bigger jobs. The customer pays online or by Tap to Pay on your Android phone.

04

Follow up and ask for the review

Reminders handle what is unpaid. Once an invoice is paid in full, send a review request to your Google or other review page.

07 / FAQ

Trades invoicing questions

Do estimates convert to invoices?

Yes. When the customer accepts an estimate, it converts to an invoice without retyping a line, and any deposit already paid shows on it. Estimates are on Professional and above.

Can clients pay by card or bank transfer?

Yes. Clients pay by card or bank from the link in the email or text, through Stripe. On Android you can also take a contactless card in person with Tap to Pay, and record cash or a check with a quick receipt.

Do you send automatic payment reminders?

Yes, on Professional and above. Email reminders go out on a fixed schedule (day 1, 7, 14 and 30) and stop when the invoice is paid. Each one is held for your approval unless you choose automatic sending.

How is this different from Jobber or Housecall Pro?

Jobber and Housecall Pro are field service platforms built around scheduling, dispatch and crews. Invoice My Clients does not schedule or dispatch; it is the billing side: estimates, change orders, progress billing, payments and collections, plus an AI assistant you can also reach from Claude or ChatGPT.
