Roofing estimating software
A roof is a large ticket with material ordered up front, decking you cannot price until the old roof is off, and often an insurance claim that moves the number. Invoice My Clients handles the money side: an estimate the homeowner signs, a deposit for materials, change orders for what the tear-off reveals, and billing in draws.
An estimate the homeowner can sign
Lay out tear-off, underlayment, shingles or metal, flashing, vents and disposal as separate lines, and offer material grades as options. The homeowner signs with a finger on your Android phone or accepts from a link, and the accepted estimate converts to the invoice.
Deposits and draws on larger jobs
Take a deposit on the estimate before you order materials: when the homeowner accepts, a deposit invoice is created for them to pay, and the amount is credited on the final invoice. On larger residential and commercial roofs, bill in draws with progress billing on Professional and above: percent complete per line, retainage held and released, and earlier draws subtracted on each application.
Purchase orders and receipts use the same numbering pattern as your invoices, so a supplier PO, the client invoice and the receipt line up in your records (purchase orders are on Business and above).
Supplements and rotten decking as change orders
When the tear-off shows rotten decking, or an insurance supplement adds scope, write a change order on the accepted estimate with the added price and get it approved. The final invoice shows the original contract and every approved change, which is the paper trail a homeowner or adjuster asks for.
How roofing jobs are usually billed
| Stage | What is billed | In Invoice My Clients |
|---|---|---|
| Signed contract | Deposit for materials | Deposit invoice on acceptance |
| Tear-off | Decking or extra layers found | Change order on the accepted estimate |
| Larger jobs | Draws by completion | Progress billing with retainage, Professional and up |
| Completion | Balance due | Final invoice with deposit and changes shown |

Roofing billing questions
How do I bill a roofing job in draws?+
Use progress billing, on Professional and above: one contract, several applications, with percent complete per line, retainage held and released, and earlier applications subtracted. Progress billing is done in the web app.
How do I document supplements as change orders?+
Add each supplement or added scope as a change order on the accepted estimate, with its price, and get the homeowner to approve it. The final invoice lists the original contract and every approved change.
Can purchase orders share numbering with invoices?+
Yes. Purchase orders, receipts and change orders use exactly the same number pattern as your invoices; only the prefix differs, such as INV-202610-001 and PO-202610-001. Purchase orders are on Business and above.
