Personas let one account issue invoices as each client business, with that client name on the email, that client brand on the document and that client numbering on the invoice, while collections and the organization view stay yours.

Personas are an Enterprise capability (also included in White Label). Enterprise pricing is custom and agreed with us, so this one starts with a conversation, not a checkout.

What a persona is

A persona is a client business you bill on behalf of. It carries its own display name, its own sender identity for outgoing email, its own brand colour on client-facing documents and its own invoice number sequence, so the client sees their business, not yours.

You stay one operator with one login. Invoices, proposals and collections run in the same account, filtered by persona, which is what makes running twenty client books practical instead of theoretical.

Issue an invoice or a proposal as the client entity rather than as your firm. The document, the client portal and the email all carry the persona, not your practice.

Per-persona sender identity

Outgoing client email is sent for that persona, with its own sending identity, so replies and reminders look like they came from the business being billed.

Per-persona numbering and branding

Each persona keeps its own invoice number sequence and its own brand colour on client-facing documents, so no client ever sees a gap in their numbering because another client got an invoice.

Organization dashboard

An organization view over the seats in your practice, so a partner can see activity across the book instead of asking each person what they sent.

The dunning engine works every unpaid invoice in the account, including the ones issued under a persona, on the ladder and quiet hours you set once.

Talk to us and size the book

Tell us how many client entities you bill for, how many people in the practice need a seat, and which ledger you keep. Enterprise terms and the seat band are agreed here, because there is no self-serve path to personas.

Set up the organization

We create your organization and connect single sign-on, so your team arrives with the accounts they already have. Seats are provisioned through SSO and SCIM rather than bought one at a time.

Create a persona per client business

Each client entity becomes a persona with its own display name, sender identity, brand colour and invoice number sequence. Their existing numbering can carry over so the sequence does not restart.

Bring the client data across

Import each client roster with terms, rates and contacts, and connect QuickBooks Online or Xero so invoices and payments post to the ledger you already reconcile.

Turn collections on across the book

Questions a practice asks first

Data separation, billing and what happens when a client walks.

How separate is one client from another?

Each client business is its own persona: its own display name, sender identity, brand colour, numbering sequence and its own invoices, proposals and clients when you filter by it. What they share is your organization, which is the point of one login. This is separation inside your account, not separate tenants with separate infrastructure, and we say that plainly because it matters to your engagement letter.

Who pays, and how are we billed?

Your practice holds the Enterprise contract and pays us. Pricing is custom and agreed with us rather than published, because it depends on the size of the book and the seat band. There is no per-seat charge inside the organization and no self-serve seat purchase. Your clients never get a bill from us; you bill them however you already do.

What happens when a client leaves the practice?

You archive that persona. It stops issuing new invoices and stops appearing where you pick a persona, while its history, documents and numbering stay in the account for your records and any audit of the period you acted for them. Nothing is deleted just because the engagement ended.

Can each partner have their own login?

Inside an Enterprise organization, yes: seats are provisioned through SSO and SCIM with no per-seat charge, and the organization dashboard rolls activity up across them. Self-serve plans are single-login accounts, so a practice that wants several people working the same book needs the organization.

Does the AI chase our clients clients, and can we control the tone?

It chases the invoices you issued under a persona, on the ladder you set: day 1, day 7, day 14 and day 30 by default, inside your quiet hours. Before each send a classifier routes disputes and repeated failures to your escalation queue rather than sending another reminder, so a partner sees the awkward cases and the client never gets nagged about a bill they already queried.
