Clients Who Stall

Get paid by clients who stall

The invoice was sent, the reminders were ignored, and now "the check is in the mail". These tools remove the easy excuses, reach the people who actually pay, and turn your invoice history into evidence.

01 / Clients Who Stall

Built for the invoice that never gets paid

Most late invoices are not disputes. They stall: the email went to the wrong person, accounts payable never received your paperwork, or a promised payment quietly never arrives. Reminders only help if they reach someone who can pay.

Invoice My Clients adds the collections steps a small business usually does by hand: tracking promises, escalating to accounts payable and the person who signed, sending a statement and your vendor paperwork, adding a late fee and, when it comes to that, a certified demand letter and a dated evidence packet. No software can force a company to pay; these make it harder to keep stalling.

  • Record "check in the mail" and promised-by dates on every plan.
  • Reminders that widen to accounts payable and the contract signer.
  • Certified demand letters you approve before anything is mailed.
  • A dated evidence packet and a case export when you need more help.

02 / Capabilities

Every tool, and the plan it is on

Each card shows the plan that includes it. The pricing page compares every plan side by side.

Promised-by dates

All plans

Log "client says paid" or "promised by" with a date and a note. The promise is recorded in the invoice history.

Pause, then re-escalate

Professional+

Automatic reminders pause until the promised date plus a short grace period, then resume on their own and mark the promise broken if the money has not arrived.

Contact roles and send to AP

Starter+

Tag each client contact as primary, approver, accounts payable or contract signer, and send an invoice straight to accounts payable.

Reminders that widen

Professional+

As an invoice ages, reminders reach further: the primary contact, then accounts payable, then the person who signed. Clients with a single contact work exactly as before.

Statement of account

Starter+

Every open invoice for a client with aging and a total, as a PDF, emailed to their accounts payable contacts by default.

Flat late fees

Starter+

A fixed amount or a one-time percentage, applied once when an invoice becomes overdue and shown as its own line. Interest never accrues on the fee. Late-fee rules vary by state, so check yours.

Vendor setup kit

Starter+

Store your W-9, certificate of insurance and remittance details once, then attach them to an invoice or send them to accounts payable in one step. Private to you, and every send is recorded.

Signed agreement on invoices

Professional+

Link an e-signed proposal or an uploaded contract to the invoices it produced, so reminders can cite the agreement, the date it was signed and who signed it.

Certified demand letter

Professional+

A formal letter with the amount, invoice dates, the agreement and a deadline, mailed by USPS Certified Mail. You preview it and approve every send; postage is billed per piece.

Small-claims evidence packet

Professional+

One dated PDF timeline: the invoice, when it was sent and viewed, every reminder and reply, promises, certified mail, the signed agreement and payments. Built from history already recorded.

Collections handoff

Business+

Hand a case off in one step: reminders stop, and you get the evidence packet plus a machine-readable export to take to the agency or attorney you choose. You can withdraw it later.

03 / Process

How it fits together

01

Before it is late

Tag the client's accounts payable contact and signer, attach your vendor kit, and link the signed agreement to the invoice.

02

When it goes overdue

The flat late fee applies once, and reminders escalate from the primary contact to accounts payable and then the signer.

03

When they promise

Record the promised date. Reminders hold until then, and pick up again by themselves if the payment does not land.

04

When they still do not pay

Send a statement, then a certified demand letter you approve, and export the evidence packet or hand the case off.

04 / FAQ

Collections FAQs

Which plan do I need?

Recording a promise is on every plan, including Free. Contact roles, sending to accounts payable, statements, flat late fees and the vendor kit start on Starter. Automatic pause and re-escalation, widening reminders, signed agreements, certified demand letters and the evidence packet start on Professional. Collections handoff is on Business and up.

Does anything go to my client without me?

Statements, vendor kits and demand letters go out when you send them. A demand letter is never sent automatically: you preview it, then approve that exact letter, and the approval expires after 24 hours or if the balance changes. Automatic reminders follow the schedule you set.

Is the late fee legal advice?

No. The late fee is a setting, not legal advice. Late-fee and interest rules vary by state and by contract, so the app reminds you to check yours before you turn it on.

What does a certified demand letter cost?

The letter is included on Professional and up. Mailing it is one USPS Certified Mail piece, billed per piece (about $12.99), and the tracking number is recorded with the letter.

Do you collect the debt for me?

No. Invoice My Clients is not a collection agency and has no agency integration. On Business and up, the handoff stops reminders and gives you a case export to take to the agency or attorney you choose.
