What does the QuickBooks Online integration do?

Connect your QuickBooks Online company with OAuth and Invoice My Clients becomes the front office while QuickBooks stays the ledger. New and updated invoices are queued and synced by a background job every five minutes, customers are pushed and imported both ways, and payments you record are posted against the matching QuickBooks invoice.

QuickBooks sends change notifications back over a signed webhook, so an invoice edited on the QuickBooks side is refreshed in your account without waiting for the next poll. Every attempt is written to a sync log with the QuickBooks request ID, and a reconciliation page lets you compare both sides.

Two systems, one set of numbers

The integration runs on a schedule, on a webhook and on demand, so the ledger is never more than a few minutes behind.

Invoice sync

Invoices marked for sync are pushed in batches every five minutes. Import existing QuickBooks invoices to start with a complete history.

Customer sync

New clients are created as QuickBooks customers, and QuickBooks customers are imported on a 15-minute schedule so both lists match.

Payment posting

A payment recorded against an invoice is posted to the same invoice in QuickBooks, carrying the remittance number when one exists.

Change webhooks

QuickBooks notifies Invoice My Clients when an invoice, payment or customer changes. Signatures are verified and sync tokens refreshed to avoid conflicts.

Sync log and reconciliation

Each record shows Pending, Synced or Failed with the failure reason and request ID. The reconciliation page compares both systems side by side.

Sync now and disconnect

Force a sync from the integration settings or from a single invoice. Disconnect at any time; your data stays in both systems.

How to sync invoices to QuickBooks Online

Connect QuickBooks Online

In Settings, open Integrations and choose Connect on QuickBooks Online. Sign in with Intuit and authorise the company file. Available on the Professional plan and above.

Import what already exists

Pull your QuickBooks customers, invoices and purchase orders into Invoice My Clients so nothing is duplicated.

Invoice as usual

Send invoices and record payments in Invoice My Clients. Auto-sync is on by default; the daemon pushes changes every five minutes.

Check the sync status

Each invoice shows its QuickBooks status. Use Sync now for anything urgent and the reconciliation page for month-end.

Which plans include the QuickBooks Online integration?

QuickBooks Online and Xero are on the Professional plan and above. HubSpot is a Business-plan beta.

How often does it sync?

A background job pushes pending invoices and payments every five minutes and imports QuickBooks customers every fifteen. QuickBooks webhooks deliver invoice, payment and customer changes in near real time, and Sync now runs immediately.

Do payments sync both ways?

Payments recorded in Invoice My Clients are posted to QuickBooks Online. Payment changes made inside QuickBooks are logged for review but are not applied to your Invoice My Clients invoices automatically.

What about purchase orders?

Purchase orders sync to QuickBooks Online and can be imported from it. Purchase orders themselves are a Business-plan feature.

What happens when a sync fails?

The record is marked Failed with the reason and the Intuit request ID in the sync log. Fix the cause, then use Sync now; nothing is silently dropped.
