What is deductions tracking?

Deductions are the business expenses you can claim against income. Invoice My Clients keeps a ledger of them in the same account as your invoices, so revenue and the costs behind it live together.

Upload a receipt image or PDF and optical character recognition (OCR) pulls out the vendor, the date, the amount and a description; you confirm the category and save. Every plan can log expenses by hand; receipt scanning comes with 50 scans a month on Professional and 250 on Business, then a small per-scan fee.

Receipt scanning (OCR)

Scans read the receipt text and extract the vendor, the total amount, the date and a description, so most entries need only a category and a click.

Photos from your phone, scanned images or PDF receipts are all accepted through drag and drop or the file picker.

Deduction categories

Office supplies, travel, meals, utilities, professional services, marketing, equipment and other. Pick one per expense and filter by it later.

Spending breakdown

A category pie chart plus a totals list with percentages shows where the money goes, filtered by date range.

Included scans and clear overage

Professional includes 50 scans a month and Business 250. The in-app meter shows scans used and any usage-billed overage (about $0.25 to $0.50 per scan).

Open Deductions

The Deductions page lists every expense with its category, date, amount and receipt.

Drop in the receipt

Drag a photo or PDF onto the page or choose it with the file picker. The file is stored securely with the entry.

Check the extracted fields

Vendor, date, amount and description are pre-filled from the scan. Fix anything the receipt printed badly and choose the category.

Save and review

The expense joins the ledger and the category breakdown updates. Filter by date when it is time to hand numbers to your accountant.

Deductions FAQs

How many receipt scans are included?

Professional includes 50 scans per month and Business 250. Beyond that, scans are usage-billed at roughly $0.25 to $0.50 each, and the Deductions page shows how many you have used.

Can I track expenses on the Free or Starter plan?

Yes. Every plan can log deductions manually with a category, amount, date and attached receipt. Automatic receipt scanning starts on the Professional plan.

What does the scan extract?

The vendor name, the total amount, the date and a short description. You choose the category yourself, which keeps the ledger consistent.

Which categories are available?

Office supplies, travel, meals, utilities, professional services, marketing, equipment and other. Categories are fixed so the breakdown stays comparable month to month.

Are receipts synced to QuickBooks or Xero?

Not today. The accounting integrations sync invoices, customers, payments and purchase orders. Deductions stay in Invoice My Clients, where you can filter and total them by category and date.
