Auto repair invoice template
A repair order is a vehicle document as much as a bill: VIN, odometer, and plate turn an invoice into service history, and service history is resale value the customer can see.
The vehicle block
Year, make, model, VIN, odometer, plate - on every invoice, every time. It ties the work to the vehicle (not just the customer), builds the history that raises resale value, and it is legally required on repair invoices in many states.
Parts and labor, with part numbers
List parts with their part numbers and labor as separate lines. Part numbers make warranty claims possible and comparison-shopping accusations answerable. Book-time labor charges are fine - name the operation ("front brake pads and rotors, 1.8 hr").
Shop supplies and declined work
The shop-supplies line is standard but must be visible, not smuggled into labor. Note recommended-but-declined work on the paperwork: it protects you when the declined brakes fail, and it converts to future revenue at the next visit.

Auto repair invoice FAQ
Do I need authorization before repairs?+
Most states require written or documented authorization with an estimate, and changes beyond a threshold need re-authorization. Keep the authorization with the invoice.
How do I price parts?+
List price or standard matrix markup, with the part number visible. Customers comparing online prices are paying for warranty, fitment, and installation - the visible part number is what lets you say so.
Should old parts go back to the customer?+
Offer them (some states require it on request) and note the offer on the invoice - it is the cleanest proof the replacement happened.
