Free Templates Where Every Format Actually Computes
Trucking invoice template
Freight gets paid on paperwork: the invoice that matches the rate confirmation, references the load number, and arrives with the POD attached goes to the front of the broker’s payment queue.
Mirror the rate confirmation
Linehaul, fuel surcharge, detention, lumper, layover - each as its own line matching the rate con’s language and numbers. Brokers audit against the rate con; an invoice that mirrors it approves itself, one that bundles everything into a single number gets queried.
The load block
Load/PRO number, origin, destination, miles, delivery date, and your MC/DOT number. The load number is how the broker’s system finds the shipment; everything else is what their audit checks. Invoice the same day as delivery with the signed BOL/POD attached.
Advances and quick pay
Comchecks and fuel advances come off the top - the advances field deducts them from the computed total so there is no confusion about the remittance amount. If you factor, clean same-day paperwork is what keeps your factoring rate down.

Trucking invoice FAQ
How fast should I invoice after delivery?+
Same day. Payment clocks (net 30 from invoice receipt, usually) start when clean paperwork arrives, and same-day invoicing with POD attached is the single biggest cash-flow lever an owner-operator has.
How do I bill detention?+
Per the rate con’s detention terms, with in/out times documented (timestamps, geotagged photos). Bill it as its own line; detention buried in linehaul gets rejected.
Factoring or waiting for payment?+
Factoring trades 1-4% for immediate cash; slow-paying brokers make it worth it. Either way the paperwork discipline is identical - factors reject incomplete packets just like brokers do.
