Get set up as a vendor with a brand or agency
Large brands and agencies pay creators the way they pay any supplier. Before the first payment they want a W-9, remittance details and a purchase order number, and the invoice has to reach accounts payable.
The situation
A beauty brand books three UGC videos through its agency. The agency’s marketing contact loves the work. Then accounts payable emails you a vendor form, asks for a W-9 and says invoices without its PO number cannot be paid.
What goes wrong today
The invoice goes to the marketing contact, who forwards it a week later. It names the brand when the contract names the agency, or it is missing the PO number, so accounts payable sends it back. Each round trip restarts the payment terms.
How it works in Invoice My Clients
On Starter and above, give each client contact a role and send the invoice to accounts payable as well as to your marketing contact. The vendor setup kit (W-9, insurance, remittance details) keeps what a new payer asks for in one place.
Put the purchase order number in the invoice details and bill the legal entity your contract names: the agency, if the agency booked you.
If an invoice comes back, fix what is missing and send a corrected invoice with a new number; the history keeps both.
When it does not fit
| Situation | What happens | What you do |
|---|---|---|
| The brand requires invoices in its own vendor portal | Invoice My Clients cannot submit to another company’s portal | Upload the PDF to their portal and keep the record here |
| The brand requires e-invoicing | E-invoicing (Peppol) is on Business and above | Ask whether a PDF invoice is accepted |
| You expect a connection to a talent agency or creator platform | There is none | Invoice the agency directly |
| You are on the Free plan | No contact roles, accounts payable routing or vendor setup kit | Email the PDF link to the accounts payable address yourself |

Questions people ask
Do I need a W-9?+
US payers usually ask for one before the first payment. Ask your accountant which name and taxpayer number to use if you have a business entity.
Who should the invoice be addressed to?+
The payer named in your agreement, with accounts payable copied if they have a separate address.
What if accounts payable rejects the invoice?+
Ask what is missing, fix it and send a corrected invoice with a new number. Do not reuse the old number.
