Invoice a brand deal that includes usage rights

A brand paid you to make a video, and now it wants to run that video as an ad for 90 days. If your invoice says one number, nobody can tell what the brand bought or when it ends.

The situation

Juno Park makes travel videos. Harbour & Co. books a dedicated video and two shorts, and the contract adds a 90-day paid usage license for the brand’s own social channels.

The fee for making the content and the fee for letting the brand reuse it are two different prices. The invoice should say so.

What goes wrong today

One line that says "Sponsorship, $5,400" gives the brand’s finance team nothing to approve and gives you nothing to point to when they ask what is included. When the 90 days end and the brand wants another quarter, there is no line to repeat, so the renewal turns into a new negotiation.

And an invoice without the purchase order number or the brand’s legal name waits in accounts payable until someone asks you for them.

How it works in Invoice My Clients

Type one line for each deliverable (the video, the two shorts) and one line for each right: "Paid usage license, 90 days, brand’s own social channels". Use the wording in your signed agreement; the invoice records what you billed, the contract sets the rights.

Add the brand’s legal name, the contract date and the purchase order number in the invoice details. On the Free plan the invoice goes out as a PDF link; on Starter and above the email carries a View and pay link so the brand can pay by card.

When the brand wants more time, clone the original invoice (Starter and above), keep the usage line, change the dates and send it as a new invoice.

Questions people ask

Does the invoice give the brand the rights?+

No. The rights come from your agreement. The invoice shows what you charged for them, with the channel and the term on the line.

Can the brand pay the invoice online?+

On Starter and above the invoice email carries a View and pay link for card payments. On Free the invoice is sent as a PDF link, so put your bank details on it.

Should I charge sales tax on a usage license?+

It depends on where you are and what you sell. Ask your accountant. Starter and above can add sales tax to an invoice when it applies.
