The Complete Guide to Invoicing for Small Businesses
How to Write an Auto Repair Invoice
An auto repair invoice is the record of what the shop did to one vehicle and what the customer owes before the keys go back. It needs the vehicle details, every repair and every part on its own line, and separate subtotals for labor and parts. In some states that layout is the law, not a style choice: California, for example, spells out what a repair invoice must show. This guide covers the fields, the order of the paperwork, and how to get paid at pickup.

What an auto repair invoice must show
Put the shop name, address and, where your state licenses repair shops, the license or registration number at the top. Add the customer, the vehicle (year, make, model, VIN) and the odometer reading.
List each repair on its own line with a plain description, including diagnostic time and any work done at no charge. List each part with its part number and say whether it is new, used, rebuilt or reconditioned. Show the labor subtotal and the parts subtotal separately, then sales tax, then the total.
California's Bureau of Automotive Repair (bar.ca.gov) says the final invoice must include the shop's name, address and license number, every repair performed (including any done at no charge), every part supplied with used, reconditioned or rebuilt parts marked, and the total for parts and labor. California also does not allow a separate charge described only as "shop supplies" or "miscellaneous parts" (Cal. Code Regs. tit. 16, sec. 3356). Other states have their own rules, so check with your state's consumer protection or motor vehicle repair office.
Estimate, authorization, then invoice
Most disputes start before the invoice. Give the customer an estimate with labor and parts priced separately, and get approval before the work begins. California accepts authorization in writing, by phone or electronically, such as by email or text; record who approved it, when, and for what amount.
If a teardown finds more work, stop and get a new authorization for the added amount before you continue. Put the authorization details on the invoice so the final bill can be traced back to what the customer agreed to. When the invoice matches the approved estimate line for line, paying at the counter is a formality.
Getting paid at pickup
Send the invoice before the customer arrives, by text or email, with a way to pay online. A customer who has already seen the total argues less at the counter and pays faster. For fleet and commercial accounts, put the PO or unit number on the invoice and use clear terms with a calendar due date, for example Net 15 with the date printed.
Keep a copy of every estimate and invoice: they are your proof if a warranty claim or a chargeback comes in later. When the payment lands, send a receipt that references the invoice number.
Auto repair invoice checklist
| Field | What to write | Why it matters |
|---|---|---|
| Vehicle | Year, make, model, VIN, odometer | Ties the bill to one car and its mileage |
| Each repair | Plain description, labor hours or flat rate | The customer can see what was done |
| Each part | Part number; new, used, rebuilt or reconditioned | Required in California; supports warranty claims |
| Totals | Labor and parts totals, then tax | Easier to check and to audit |
| Authorization | Who approved, when, amount, how (text, call, signature) | Ends arguments about added work |

Auto repair invoice FAQ
Do I have to say if a part is used or rebuilt?+
In California, yes: the final invoice must mark parts that are used, reconditioned or rebuilt. Other states have their own consumer rules. Marking it on every invoice is the safe default, and it supports warranty claims later.
Can I add a shop supplies charge?+
Check your state. California does not allow a separate charge described only as shop supplies or miscellaneous parts. Where a supply or disposal charge is allowed, describe what it is for so the customer can tell what they paid for.
What if the job costs more than the estimate?+
Stop and get a new authorization for the added amount before doing the extra work, and note who approved it and when. Then bill the added work as its own lines so the invoice still matches what was approved.
